Purpose of Position

To provide operational administrative support to the Office of Human Resources, the Office of Institutional Research, and the Office of Procurement and Real Property Initiatives. Provides additional support to other Administration and Finance units within the USMO, as needed. This is a contractual position for an appointment of one year with the potential for renewal.

Responsibilities

Scheduling & Meetings:

  • IN-PERSON: Determines meeting times, secures meeting spaces, orders food and refreshments, prints meeting materials, and provides other logistics, including day of the event of management. Coordinates with the HR coordinator on planning and executing the annual Staff Awards.
  • VIRTUAL: Determines meeting times, sets up Zoom or Teams meeting/webinars, distributes meeting links/calendar invites, attends meetings as tech/host, and provides other logistics.
  • CALENDAR MANAGEMENT: Manages the calendars of the Associate Vice Chancellor for Human Resources and the Associate Vice Chancellor for Institutional Research. Also manages the scheduling of the Human Resources Conference Room and the IVN Conference Room.

Office Operations:

  • Organizes and orders Admin & Finance office supplies and materials, including employee name plates and business cards.
  • Contact facilities for maintenance issues.
  • Obtains and coordinates the distribution of paper paychecks from the UMCP Payroll office.
  • Manages Admin & Finance purchases through a purchase card (P-Card): obtains purchase receipts and files documentation for reconciliation and audit purposes. Must complete training in P-Card management.

Administrative:

  • Coordinates travel and other reimbursement requests for the Associate Vice Chancellor for Human Resources and the Associate Vice Chancellor for Institutional Research.
  • Manages the deed cabinet for the Office of Procurement and Real Property Initiatives.
  • May be called upon to provide administrative support to other units within the office of Amin & Finance.

Other duties as assigned.

Minimum Qualifications

  • Required Education Level/Certifications: High School Diploma or GED
  • Required Experience: 3 years of administrative experience.

Required Knowledge/Skills/Abilities:

  • Excellent interpersonal, oral, and written communication skills.
  • Proficiency in the use of business English, spelling, punctuation, grammar, and arithmetic,
  • Highly attentive to detail with strong organizational skills.
  • Creative problem solver.
  • Ability to respond to various requests simultaneously, prioritize, and provide excellent customer service.
  • The ability to work independently and exercise good judgment.
  • Computer skills: Proficiency in Microsoft Suite (Word, Excel, PowerPoint, SharePoint, Outlook, & Teams), Adobe Acrobat, and Zoom.
  • Ability to ensure confidentiality of information.

Classification: Contingent II

FLSA Status: Nonexempt

Hours: FT

Salary: $45,000 to $52,650

Benefits: includes medical, dental, and vision benefits, tuition remission, paid leave, and the option to telework for part of the week.
